Selling Watches

As a collector, you may have occasion to sell a watch. With WatchWare Watch Collector, you are given the capability to easily mark watches for sale. Once you do this, you can print out reports of your watches (or other items in your collection) that are for sale which can be sent to your customers. You can even create HTML pages with your watches for sale that can be uploaded to your web site. NOTE: you will have to supply your own ftp software to do the upload.

Fields on the Watch Data Form

For Sale?

This field, if clicked on, will add the watch to the "Watches for Sale" report. If you later wish to remove the watch from the ‘For Sale List’, click it again so that the checkmark disappears and it will be removed from the "Watches for Sale" list.

Sold

When the Sold box is clicked on (checked) a pop-up form for entering customer information is opened. If the For Sale box was checked, it will be cleared since the watch is no longer for sale.

When entering customer information, if the customer isn’t already available from the drop down list, you can just enter the customer data on the form and it will automatically be added to your customer list.  Notice that this pop-up form also shows the status of the watch with similair check boxes. These check boxes are not available for editing. They only mirror what was checked on the ‘Watch Input Form’. The Price field on the pop-up form is independent of the Current Value on the ‘Watch Input Form’. This is where you would enter the actual sold for price. NOTE: all customers entered on the 'Watch Sold To Info' form will be included in your customer database.

Memo’d

The Memo’d check box is for watches that you have given to another dealer to sell for you. When checked, the For Sale checkbox remains checked if was checked or will automatically be checked if it wasn’t. On checking the Memo’d check box, the pop-up form for entering the memo’d to (customer) data will open.

Auction

The Auction check box is for watches that you have consigned to auction. When checked, the For Sale checkbox remains checked if was checked or will automatically be checked if it wasn’t. On checking the Auction check box, the pop-up form for entering the Auction House (customer) data will open.

Partner

The Partner check box is for watches that you have given to a partner to sell for you. When checked, the For Sale checkbox remains checked if was checked or will automatically be checked if it wasn’t. On checking the Partner check box, the pop-up form for entering the partner (customer) data will open.

Changing a checked status for a Watch

Once a watch is marked Sold, Memo’d, Auction, or Partner, you can remove that status by clicking on the checked field. This will open a dialog box asking you if you are sure about removing the status. If you select ‘Yes’, the customer record will be deleted. (Note: the customer will remain in the customer database for future use.) If you want to change a checked status from memo’d to sold, just click on the Sold box and the ‘Customer Sold To’ pop-up form will open allowing you to enter the customer data necessary. The Memo’d status remains checked since it is assumed the watch was sold via the ‘Memo’d’ method. The watch will appear in both the ‘Watches Sold’ and ‘Watches Memo’d’ reports. If you want to remove the ‘Memo’d’ record, you will have to click on the check box to delete the status and remove the record form the ‘Memo’d’ report.

Printing 'Watches For Sale' List

In addition to creating HTML pages for your 'Watches For Sale' you can print out two different reports formatted to be presentable to customers. One report is with pictures (dial picture only) or without pictures. You access these reports from the toolbar on the watch data form.

Watches Sold List

Access to this review form is from the toolbar when the ‘Watch Input Form’ (or wristwatch or movement input forms) is open by selecting <Utilities><List of Watches Sold>.

All watches, wristwatches and movements that you have sold (marked as sold and entered customer data for) will appear in this list. If you delete the ‘Sold’ watch from your ‘Watch Input Form’ it will still be shown here. These records are an archive of what you have sold. This ‘Watches Sold’ review form is available for you to edit the list of watches you have sold. This form will let you selectively purge your ‘Sold’ records. Example: If you sold a watch last year and are no longer interested in that record, you can open this form, click on the record selector to the left of the watch you want to remove, and press the <DEL> key.  The best method of deleting your ‘Sold’ watches from your collection  is to use the <Remove "Sold" Watches> option found on the <Utilities> option of the toolbar. This will remove the ‘Sold’ watch records from your collection but leave them in the archive. To eliminate watches from the archive, follow the method described above. NOTE: Only watches visible in the 'Archive List of All Watches Sold' will print on the 'Watches Sold' reports. You can print out lists of your watches sold by pocket watches, wristwatches, movements or all together.
